Start with the agreement as it stood at the time

Keep the original estimate, contract and messages about the promised work or payment. Identify changes in scope, who authorized them and when they occurred. Separate what you personally communicated from statements attributed to someone else. Later disagreement should not be allowed to obscure the original sequence or missing parts of the records.

Connect each payment to the representation alleged

Create a short chronology of invoices, transfers, delivery records and complaints. Mark where the prosecution’s account appears to rely on a particular statement or omission. Fraud concerns dishonesty and deprivation, which can include economic risk; a disputed bill alone does not explain the whole legal question. Preserve later settlement discussions without promising an outcome

Keep refund requests, repayments and proposed settlements separate from the original transaction history. Private repayment does not itself decide whether a prosecution continues.
